Headshot Portal (we will strive to post these headshots same day, 24-to-48 Hour turnaround atypical): Attendees will receive access to a secure, branded, self-service online portal. Using secure search features (e.g., name, photo booth time) attendees can easily search, view, select, and instantly download their retouched digital headshots.

Attendee Headshot Studio (March 4–5, 2027

We will deploy a full mobile studio setup directly inside the Hilton West Palm Beach during peak conference hours:

Studio Setup: Professional studio strobes, softboxes, clean modern backdrops, and tethered monitor displays.
Attendee Experience: Guided posing direction and real-time coaching to make every physician and attendee feel comfortable, confident, and authentic.
Efficiency: High-throughput setup designed to accommodate high attendee volume without compromising quality or causing long wait times.

Technical Approach & Equipment

Camera Systems: Dual professional full-frame camera bodies with dual memory card slots (simultaneous real-time backup on-site).
Lighting Systems: On-camera speedlights with bounce diffusers for candid evening events; multi-point off-camera studio strobes with softboxes for the Headshot Studio.
Backups: Complete secondary gear setup (backup bodies, lenses, cables, lighting) maintained on-site at all times.
Software & Delivery Platform: High-speed cloud-based proofing and delivery platform, SSL encryption, and high-speed global downloads.
